Sharing Dashboards with URL

A qTest Site Administrator can generate a secure URL to share the following dashboard types with read-only access:

  • system Shared Dashboards
  • user-created dashboards
  • saved-with-filters dashboards 

When a valid Dashboard Token is available, you are ready to use the "Shareable URL" function within the Insights application. Make sure your Dashboard Token is valid (will display with a green circle icon). If not, you will need to generate a new one. 

You can share the URL with someone who does not have a qTest license. This version of Sharing Dashboards with a URL functionality is for Insights 1.15.6. If you are using a previous version of Insights, please refer to this article.

How to Generate a Dashboard Token

  1. Navigate to Site Administration, and select the System Configurations tab.
  2. Locate the Insights section of the window.  
  3. Select the Generate button to create a new, secure Dashboard Token.
    Note: At any time you can generate a new, secure Dashboard Token that will replace the previously created Dashboard Token. The new token will be used by qTest to generate a shareable URL.
    • Green circle icon = Dashboard Token is active
    • Gray circle icon = Dashboard Token is expired
  4. The Expiration Date default is 90 days from token generation. However, you can change it to another expiration date using the drop-down.
  5. Select Save.
    Note: A Dashboard URL generated before the 1.15.6 release, will continue to work until the dashboards expiration date.


Now, you can generate a shareable URL for any dashboard.

Shareable URL Locations

You can find the "Shareable URL" function in the Global filter of any dashboard or from the individual reports on the Manage Dashboards page.

Global Filter of any Dashboard

  1. Select the Dashboards tab, and the list expands.
  2. Hover over the Dashboards option and the following dashboard types appear on the menu:
    • system 'Shared' Dashboard
    • your 'Personal' Dashboard
    • user's 'Saved with Filters' Dashboards
  3. Select the filter icon filter_insights.png and the Filters menu opens.

  1. Select the Dashboards tab, and the list expands.
  2. Hover over the Dashboards option and select Manage Dashboards.
  3. Locate the dashboard you would like to share the URL.
  4. Select the list icon insights_dashboard_list_icon.png to expand the dashboard options.
  5. The Shareable URL link is visible.
    Note: The Shareable URL link is available in both the Available Dashboards and the Saved with Filters section.

Use the Shareable URL Function

When you select Shareable URL, a popup appears for you to either:

  • Send an email to users 
  • Copy the URL


Send Email

  1. Enter the email addresses of the users you would like to access the Dashboard you are sharing.
  2. Select the Send email button.
  3. The chosen recipients will receive an email with the following content.


Copy URL

  1. Select the Copy URL button.
  2. The URL will be copied to your clipboard.
  3. You can then paste the URL into any application you choose.

Sharing Reports with an Embedded Script

The Embedded Script works by generating JavaScript code that you can use with another website. This feature works for the following reports: 

  • Reports in the Analysis section 
  • Shared Dashboard
  • Any View in Explore Data 
  • Saved Reports 

NOTE: This feature is available from Insights 1.5.

How to Embed a Script

  1. Navigate to the desired report you want to show on another web page. 
  2.  Select the filter icon filter_insights.png and the Filters menu opens.
  3. Select the embedbutton.png button in the filter panel.
    • Reports listed in the Explore Data and Saved Reports tab, contain the Embed Script icon for a quick way to copy the embedded script to your clipboard.
    • Reports listed in the Saved Reports>Manage tab have the embed script option available when you expand the list icon insights_dashboard_list_icon.png.
  4. The embedded script will be generated and automatically copied to your clipboard.
  5. Paste the embedded script to your website landing page.

    Below is a screenshot of how the Quality Analysis report looks once you copy its embedded script to a website. This embedded report will remain static, so users will not be able to navigate through other features/sections of qTest Insights or drill-down into the data of the report without a qTest license.


Embed Script Locations

You can find the "Embed Script" button in the Global filter filter_insights.png of the Analysis Reports, Shared Dashboards, Explore Data and Saved Reports. Individual reports in the Explore Data and Shared Reports offer the embed scripticon.
